At PowerSofts, we take your privacy seriously. This policy explains how we handle your information.
This policy covers the PowerSofts website and the Power Workflow mobile and web application. For data created inside Power Workflow, the organisation that subscribes to the service is the data controller and PowerSofts acts as a processor on their instructions.
We collect information you provide directly (name, email, phone, company) when you contact us, request a demo, or use our chatbot. We also collect basic usage data such as pages visited to improve our services.
When your organisation uses Power Workflow, we process on their behalf: your account details (name, email, phone number, job title, profile photo and personal signature image); the work records you create or act on (requests, attached documents, approval comments, approval history and digital signatures); and messages and calls exchanged about that work. This data belongs to the organisation using the software.
The app may ask for access to your camera, photo library and microphone so you can attach documents and make voice or video calls. This content is only sent when you actively choose to attach a file or place a call. We register a device token in order to deliver push notifications about work assigned to you. Unlocking with Face ID or a fingerprint is handled entirely on your device and we never receive biometric data. You can withdraw any of these permissions in your device settings at any time.
We use your information to respond to inquiries, provide and improve our services, send relevant updates if you opt in, and ensure the security of our platform. We do not sell your personal data and we do not use it for advertising.
If your organisation enables the optional AI features, the content of the records and documents submitted to those features is sent to the AI provider your organisation has configured (for example Anthropic Claude, Google Gemini or Groq), using your organisation's own account with that provider. PowerSofts does not use your content to train any model and does not retain it beyond what is required to complete the request. Your organisation's administrator controls whether these features are enabled and which provider is used.
We apply industry-standard security measures including encryption in transit and at rest, access controls, and regular backups. Access to your data is restricted to authorized personnel only.
We do not share your personal information with third parties except as required to provide our services (for example secure cloud hosting and storage providers, and any AI provider your organisation has configured), or to comply with legal obligations. We never sell your data to advertisers.
You can delete your account yourself in the app at any time under Account, then Delete account. Your personal information (name, email, phone number, profile photo and signature) is removed and you can no longer sign in. Work records you were involved in are retained by your organisation as business records required for audit purposes and are displayed anonymously. You may also request deletion by contacting info@powersofts.net.
We retain data for as long as your organisation continues to use the service. After a subscription ends, data is deleted within 90 days unless a longer retention period is required by law.
You have the right to access, correct, or request deletion of your personal data, and to object to certain processing. To exercise these rights, contact us at info@powersofts.net or your organisation's administrator.
Power Workflow is a business tool intended for use by employees of our customer organisations. It is not directed at children and we do not knowingly collect data from children.
